Purpose:

Tracking And Controlling Employee Assigned Property

Policy:

DHS has a duty to protect State resources. Certain State property assigned for use by individual employees is at particularly high risk of loss because it is portable and often of high value.

Assigned property includes (but is not limited to):

Camcorders

Keys

Photography Equipment

Cameras

Laptop Computers

SPOTS Cards

Cell Phones

Motor Pool Cards

Televisions

Electronic Equipment

Pagers

Travel Cards

Hand Tools

Palm Pilots

VCR's

Keycards

Phone Credit Cards

 

Every employee in assigned DHS property shall have an Employee Assigned Property Tracking Form completed within two business days of receipt of the property.

Copies of the signed form will be retained in the employee's supervisory file and in the Human Resources "Assigned Property" file.

The employee and supervisor will review the form and record that it was reviewed during the annual performance appraisal or when the position description is updated.

It is the employee's responsibility to return all items when terminating the position or when the item is no longer needed. It is the employee's responsibility to notify his/her supervisor and other appropriate staff when the item is lost or stolen.

It is the supervisor's responsibility to obtain the items assigned to the employee when the employee is terminated or placed on Administrative Leave.
